A business owner approaching a new firm wants three things: to know you work with businesses like his, a rough idea of the cost, and a call booked. None of the three requires a senior partner.
The agent runs this part up to the meeting: business type and dealer status, transactions per month, whether there is payroll, whether an individual annual return is needed, and when they want to start. Confidentiality and security: what the agent does not need to know

- Map the recurring questions. One week of incoming messages, tagged by what repeats. That is the initial knowledge base.
- Build a process knowledge base. Deadlines, procedures, payment methods, what to bring to the year-end meeting - process content only, not tax advice.
