Privacy policy wording: WhatsApp channel and AI agent

Why this is needed

When a business runs an AI agent on WhatsApp, it remains the owner of the database. A privacy policy written before the WhatsApp channel went live usually covers the website only, does not mention automated processing, and does not name the processing provider. The wording below closes those three gaps.

Who owns the database, and why it matters

In the business's own channel the business is the owner of the database and WhaleBiz is only a processor acting on its behalf. That is why the agent's opening message must link to the business's privacy policy rather than ours, and why access or deletion requests go to the business.

Before copying: replace the fields

• {שם החברה} - The full legal name of the business
• {ח.פ.} - Company or sole-trader registration number
• {טלפון} - Phone number for a human response during business hours
• {אימייל} - Address for privacy enquiries
• {מספר הסעיף} - The next actual section number in your policy

The wording to copy

The template is in Hebrew on purpose: it goes into the Hebrew privacy policy of an Israeli business. Copy the whole block into your privacy policy as an additional section. The links to WhaleBiz are part of the wording - they are what makes the disclosure transparent.

Two more things worth doing

• A short Latin-script URL for your policy page (for example yoursite.com/privacy). A Hebrew URL expands in WhatsApp into a long unreadable encoded string, which looks bad in the very first message a customer receives.
• A line in your accessibility statement mentioning the WhatsApp channel: that the first response is automated, and that a human response or a phone call can be requested at any point.
