WhatsApp CRM integration, and everything else your business already uses

WhaleBiz connects to the channels where customers write, your social networks, calendar, analytics and the systems you already have. Every conversation, booking and enquiry lands on one customer card, and nobody copies data from place to place.

What connects to WhaleBiz

WhatsApp Business

An official API connection. You can keep replying from the app on your phone and import the last six months of chats.

Your website

A chat widget for any site, Google Tag Manager included, and sites on WordPress, Wix and Shopify connect to the system.

Telegram

Your business Telegram bot answers customers, and every enquiry is logged in the CRM.

Social networks

Instagram, Facebook, TikTok, YouTube, LinkedIn, Threads, X, Pinterest and Google Business Profile: publishing, statistics, comments and reviews, through each network's official authorisation.

Google Calendar

Two-way sync with the calendar the agent books into.

Google Drive

A shared folder, and new photos and videos reach the media library by themselves.

Google Ads and Meta

Spend and campaigns show in the CRM, next to the leads they brought.

Google Analytics and Search Console

When you grant access, your site data appears in the CRM statistics.

RapidOne

For clinics: the agent recognises a returning patient by name, and RapidOne events trigger follow-ups.

Flashy

An email or automation in Flashy triggers a WhatsApp message from an approved template.

WooCommerce

The agent checks stock and searches products in the store during the chat.

Excel, API and webhooks

Excel and CSV import and export, API keys and webhooks to systems such as Monday or HubSpot.

How we connect

  1. 1

In the check-up we note where customers reach you today and which systems your business already runs on.

  2. 2

We connect each channel and system through its official authorisation, without you handing us a password.

  3. 3

We test every connection with a real conversation: an enquiry, a booking, a lead in the CRM, before your customers see anything.

  4. 4

A system that is not listed here is checked before we start, and if it needs development you get a quote up front.

Official connections, no passwords

Every integration goes through the system's own official authorisation screen. So it is clear what is connected and what it can access, and you can revoke it at any moment.

  1. 1

WhatsApp is connected through the official WhatsApp Business API, not through unofficial apps that put your number at risk.

  2. 2

Networks, Google and ad accounts connect through each one's official sign-in screen, and you can revoke access there yourself.

  3. 3

The Google Drive folder is shared view-only, and only that folder.

  4. 4

Everything lands on one customer card in the CRM, so the conversation, booking, source and payment sit in one place.

A system with no API, or with an API that does not allow writing, cannot be connected. If that is the case, we tell you in the check-up, before you pay for anything.

What is included and what is quoted?

The connections of the plan you chose are made at setup: the channels, the calendar, the CRM and the networks. Connecting another outside system is an integration project, and we tell you its price before we start, never a surprise invoice. Details are on the setup and support page.

Where the connections work

Frequently asked questions

How does a WhatsApp CRM integration work?

Your business number is connected to the official WhatsApp Business API. From then on every customer message reaches the AI agent, which replies, and the whole conversation is saved on the customer card in the CRM with the name, phone and source. Your team sees the conversations on one screen and can step into any of them and carry on themselves.

Can we keep replying to customers from the WhatsApp app on our phone?

Yes. The number stays connected to the WhatsApp Business app too, and when you or someone on your team replies from the phone, the agent stops replying in that conversation and leaves it to you. You can also import the last six months of chat history, so the agent does not start from zero.

Our site runs on WordPress, Wix or Shopify. Can it be connected?

Yes. We connect the site to the system, and the agent widget installs on each of these platforms, so every conversation is logged in the CRM. Existing forms connect through a webhook. If you want page tracking to run by itself too, you can move the site to our platform.

Our system is not on the list. Can it be connected?

Usually yes, if it has an API. Any lead or record can be sent to it through a webhook step in an automation, and if we also need to read from it, for example to check free slots in another system, that is an integration project quoted before we start. In the check-up we see what the system allows.

Are the connections part of the plan or paid separately?

The connections of your plan are made at setup and cost nothing extra: the channels in the plan, the calendar, the CRM and the networks. Another connection to an outside system is a project with a price set up front. Automations you build yourself in the system are not counted and have no meter.

What happens to our data and connections if we stop working with you?

Your data is yours: you can export all customers, conversations and tables to a file. You revoke access to the networks, Google and ad accounts yourself on each one's permissions screen, and your WhatsApp number stays yours.
