A date at an event venue is sold in a single evening, and most owners never see that evening. A couple settles on a date and sends the same message to five to eight venues within an hour. By the end of the week two or three real options are left, and the venue that makes that shortlist is not the prettiest or the cheapest: it is the one that replied while the couple was still comparing, said something concrete about the requested date, and offered a tour slot. The tour, the quote and the contract all come after that filter.

An event venue does not sell a service, it sells a date

A hair salon has another slot tomorrow. A venue has roughly 150 to 200 sellable evenings a year, and only a subset are the ones people fight over: Thursdays and Saturday nights in season. A date sells once, and if it does not sell it does not roll into next month.

In money: an event for 250 guests at 250 shekels per plate is around 62,000 shekels, before bar, decor or upgrades. Illustrative numbers, worth running on your own price list, but the ratio holds. One empty evening in season is not a "lost lead", it is an inventory item that expired, and two of them a year is roughly 120,000 shekels no discount can recover.

An empty hall on a Thursday still pays municipal tax, rent, insurance and maintenance, so the gap between filling 78 percent of your sellable evenings and filling 88 percent is not 10 percent of revenue but a large share of the year's operating profit.

"Is the date available?" is a test, not a request for information

The first message almost always looks the same: a date, sometimes an approximate guest count, nothing else. It looks like a simple question, and it is the moment the couple measures you, because the same message went to your competitors in the same minute and they are comparing response times.

A good answer is not "hi, we will get back to you shortly". It is three things: the status of the requested date, one or two questions that move qualification forward, and a concrete tour slot from the calendar. If the date is taken, the important part is what is open around it. Many couples are flexible by a week either way and do not know it themselves, but nobody offers the alternative if their message is answered at noon the next day.

In season these messages land between nine at night and midnight, and on Saturday, when the events manager is unavailable anyway. Coverage in those hours is not better service, it is being on the shortlist.

The question set that repeats in every enquiry

Enquiries look different but circle one list: minimum and maximum guests, the per-plate range and what it includes, which kashrut certification, whether an outside supplier is allowed, parking, accessibility, space for a chuppah, the end time against the business licence and the neighbours, sound limits for the DJ, the payment schedule and the cancellation terms. A fixed list, currently held in one person's head.

An AI agent answers that list from the material you approved, on WhatsApp or website chat, at any hour, in Hebrew, Russian or English. Language matters more than it sounds: at family events in Israel the enquiry is often run by a parent.

What the agent does not do matters more. It does not quote a final price, confirm a date as booked, negotiate a discount, or approve exceptions to the supplier policy or the end time. Those go to a person with the full context, and the couple is told when someone will reply. That is operational protection: whatever is said in chat during qualification comes back as a claim on the day of the event.

The tour is the conversion point, not the message

Very few venues close without a tour, so the metric that decides the year is not how many enquiries arrived but how many became a scheduled tour. When tours are booked by hand out of a WhatsApp thread, a day or two opens between interest and slot, and in that gap the couple visits a competitor.

An agent connected to the calendar closes it: two or three open slots offered, one booked, the address sent, a reminder the day before. A tour no-show in season costs the events manager an hour they will not get back, and in peak weeks those are the most expensive hours in the business. The row worth stopping on is the second to last. One events manager functions well for nine months and breaks in exactly the weeks when every enquiry is worth tens of thousands of shekels. That is a capacity problem, and it is why hiring for the season rarely pays: the load lasts six weeks, not a year.

Nine months of follow-up without becoming a nuisance

Months pass between first enquiry and signature, and for some events almost a year. The couple moves slowly and keeps looking, while on your side the enquiry sinks to the bottom of the chat. Manual follow-up fails here because nobody holds thirty-seven open conversations in their head.

What works is follow-up defined by state, not by a uniform schedule. A couple who toured and did not come back within a week gets one short message. A couple who asked for a quote and went quiet gets one reminder with the validity of the pricing. A couple who said "after the holidays" gets a reminder on the date they named themselves. Frequently asked questions

Can the agent close a date and take a deposit? No, and that rule is set before go-live. The agent reports availability only from what is actually maintained in the calendar or CRM it reads, and tells the couple explicitly that this is an option pending confirmation by the events manager. A date is closed only when a person closes it. In-chat payment exists on the Business plan only, and even there it fits a deposit. Contracts, unusual discounts, cancellation terms and payment schedules stay with a person.

How does the agent answer price questions without quoting a final number?
