AI Agent for Driving Schools: Filling the Calendar

A driving school does not sell lessons. It sells a place in one instructor's calendar at one hour. That is perishable inventory, like an airline seat: a 14:20 lesson unsold by 14:20 is never sold. Two conclusions follow, both barely applied. Revenue is set by calendar occupancy before the media budget. And response time is pricing, not politeness: every hour an enquiry waits, perishable inventory stands empty while the student messages two more schools.
What exactly perishes: the arithmetic of an empty slot
Substitute your own numbers. An instructor gives nine 40-minute lessons a day, five days a week, at say ₪180 each. One unused slot a day is twenty lessons a month, around ₪3,600. With four instructors that is roughly ₪14,400 a month gone unrecorded, because perishable inventory appears in no report.
The other side of that calendar is enquiries. Say sixty a month and twenty files opened. The forty left over did not all fall on price: many arrive between nine at night and midnight and get answered at half past eight, after the student has two other answers. And in most small schools the instructor answers personally, so the person who should be selling sits in a car eight hours a day. That is structural, not a discipline problem.
The twelve questions that decide who gets the student, and when
First-contact fact-finding barely changes, so take it off the instructor's phone:
- Type of enquiry. New student, file transfer, an immigrant converting a licence, or another category.
- Stage reached. Is a file open, is the medical form done, is theory passed.
- Gearbox. Automatic or manual, a choice that affects the licence itself.
- Area and pickup point. City, neighbourhood, and where they are collected: home, school, station.
- Real time windows. After school, exam season, summer holiday, before enlistment.
- Frequency. One lesson a week or three, and how soon they want the test.
- Lessons already taken. Transferring in after eighteen lessons is a different enquiry.
- Language. Hebrew, Russian or English, sometimes the parent in another.
- Instructor preference. Male or female instructor, seniority, vehicle type.
- Who pays and who messages. The parent pays, the student writes. Two people, one enquiry.
- Payment structure. Single lesson, package, standing order, and cancellations.
- Timeline expectations. What the student thinks happens before the test, so you see the gap.

Schools measure response time, but the decision that produces revenue is who the student is allocated to. That dropout costs more than the lead, because the remaining lessons go with it.

The agent offers only hours that exist in a calendar. If the week runs on sticky notes, you get organised enquiries but manual booking. Ordered calendars are the precondition, and usually the first improvement people feel.
The calendar is the inventory: a lesson cancelled at eight in the morning
A same-day cancellation at eight in the morning is part of operations. What separates schools is the hour after: in one the instructor tries two numbers between lessons and gives up, in another a waiting list already asked for that window and one message fills it.
- A reminder the evening before with the time and pickup point, and a one-message confirmation.
- A waiting list by time window, so a freed hour goes first to whoever asked for it.
- A cancellation policy stated in advance, same wording for every student, instead of an awkward conversation later.

Months of contact: from first enquiry to the test
Months pass between first enquiry and test, containing exams, holidays and budget gaps. The dropout is silent: the student never announces it, they stop booking. Follow-up therefore depends on state, and four sequences cover most files:
- Enquiry with no file. Asked and never registered, referencing a detail from the conversation, not generic wording.
- No lesson for two weeks. File open, lessons stopped, still recoverable.
- Stopped mid-course. A concrete window offered instead of "when suits you".
- After the test. A Google review and an approach to friends at the same stage, the cheapest referrals you have.
Two rules prevent spam: a stopping point after which the student moves to a cold list, and any reply halts the sequence and hands it to a person. Automations and follow-ups are unlimited with no trigger meters, so a long sequence costs nothing extra.
The red line: what the agent does not promise
Under Ministry of Transport supervision a wrong answer comes back as a complaint, so the boundary is written in sentences, not intentions. The agent does not promise a test date or commit to its outcome, and gives no opinion on whether a student is ready, which is the instructor's judgment alone. It does not rule on eligibility, licence conversion, required lessons or fees, and does not interpret a medical document. It approves no refund, waives no cancellation fee and gives no discount outside the price list.
It does close most traffic alone: price and package questions from a list you approved, the twelve intake fields, allocation by rules, booking, reminders, rescheduling and chasing a student who vanished. Anything beyond the boundary goes to a person with full context. That is the logic of an AI secretary for scheduling and reception: not to replace the judgment of the person who teaches, but to clear away everything that is not teaching.
What it costs and which plan to start on
A driving school starts on Standard: ₪490 per month plus a one-time ₪1,990 setup, excluding VAT. Size the quota against your busiest month, not an average. One message is one agent reply, incoming student messages are not counted, and a reply to a voice note or image counts as one message like text. That matters where students record voice notes on the way home. Standard includes 1,800 messages with ₪0.38 overage, Business 4,000 at ₪0.32.
Setup on Standard is up to 14 business days, counted from when your materials arrive, not from payment. With a sharp season that means starting six to eight weeks before the summer holiday. The setup fee is one payment before work starts, and the subscription begins the day the agent goes live.
The materials we need already exist, just not in writing: price list and packages, service areas and pickup points, cancellation policy, the instructor list with area, gearbox and language, and the approved answer for Ministry of Transport questions. Frequently asked questions
Can the agent book a lesson in a specific instructor's calendar? Yes, provided the calendar exists as a system and not in the instructor's head. The agent offers only genuinely free hours, records the lesson with the pickup point and sends a reminder. If you want human approval, it proposes an hour and the office confirms. What it will not do is invent availability.
A 17-year-old messages, the parent pays. How does that work? The normal case, not an edge case. The agent establishes who messages and who pays and keeps both numbers on one student card in the WhaleBiz CRM, so a parent message a week later attaches to the same file. Scheduling to the student, price to whoever pays, each in their own language.
What about Ministry of Transport questions, like licence conversion or required lessons? The agent answers only from what you approved in writing, and anything needing interpretation goes to a person. It does not rule on eligibility, interpret a suspension or medical condition, or quote a public authority's timelines. It does recognise such an enquiry immediately, collect the details that save you the fact-finding call, and say when someone will reply.
