AI Agent for Mortgage Advisors: Qualify First

Almost every mortgage advisor in Israel has the same rule: no numbers before we see documents. Almost nobody keeps it. An enquiry arrives on WhatsApp reading "we have ₪700,000 in equity and earn ₪28,000 between us, what rate can I get?", and the answer goes out within three minutes, because not answering feels like losing a client. Twenty minutes later a full consultation has happened, unpaid and with no file, and the person who got it walks into their own bank with it. The rule does not break for lack of discipline. It breaks because there is no other step between the enquiry and the meeting.

The economics of a mortgage file: what a file is worth, what an enquiry costs

Private mortgage advisory runs on a small number of files a month. Say, replacing the numbers with your own, a ₪7,000 fee per file and seven files in a good month, against 40 enquiries. Two costs sit behind those 40. Cost per lead: here you compete for the same keywords as banks and large practices, so at ₪150 an enquiry that is ₪6,000 a month. Cost of qualifying: 15 to 25 minutes of the advisor's own time per enquiry, before it is clear whether there is a file at all, is around 12 hours a month, another ₪3,600 at ₪300 an hour that appears in no report.

So the expensive work is done first and for free, and only afterwards does it become clear whether this is a client. In any other business that would look like an operational error. Here it looks like service.

Eight facts that decide whether there is a file at all

The list an advisor establishes in the first conversation barely changes between enquiries, which is why it can come off their calendar:

  • The purpose. First purchase, move-up, a subsidised-housing scheme, refinance, or a loan against a property. Each is a different process.
  • Employed or self-employed, and if self-employed, whether two years of returns exist.
  • The equity, and what it is made of. Savings, proceeds from a sale, help from parents, a training fund. Composition matters as much as amount.
  • The status of the deal. Just looking, past a memorandum of understanding, or a signed contract with payment dates running.
  • Pre-approval, from which bank and when. Its validity is limited, and that sets the urgency.
  • Income and obligations in broad terms: loans, leasing, standing charges.
  • The parties. A spouse, partners, guarantors.
  • The property. Resale, from a developer or off-plan, and in which area.

  • Process questions from approved material: the stages, what to bring, what happens between pre-approval and signing, when the fee is paid.
  • Establishing the eight facts, and filtering out anyone with no file right now without closing the door on them.
  • Booking a meeting in the right advisor's free calendar, with a reminder.
  • Collecting documents and chasing what is missing.
  • Following up with whoever went quiet.

Anything past the boundary goes to a person with the full context, and the client hears when they will be called back. That is the logic of an AI secretary for booking and answering: not replacing professional judgment, but clearing away everything that is not it.

Documents are the bottleneck, and the risk

Every advisor knows the file that got stuck not because of the bank but because of two missing documents. Payslips, bank statements, loan balances, a land registry extract, a sale agreement, and for the self-employed returns too. The agent does that part without forgetting: it presents the list, receives photos and files, says immediately what is missing, and attaches it all to the lead card.

The row worth looking at is the third. In the first three columns the choice is between losing the lead and giving away free advice. The fourth removes that dilemma: the client gets a full, fast reply, and the advice stays a product you pay for.

Follow-up on a property-deal timetable

Mortgage advisory has two opposite time frames. Some enquiries are urgent, because a contract is signed and payment dates are running. A large share arrives three to six months before there is a property at all, and those are the ones that get lost: the client asked, got an answer, and disappeared to look at apartments. They do not necessarily come back to you.

Follow-up that works here leans on the dates the client gave: when they said they intend to sign, the sale of the existing apartment, the end of a probation period, or a pre-approval running out. Three rules keep it from becoming a nuisance: every message refers to a detail from the conversation, there is a stop point after which the lead goes to a cold list, and any reply hands the conversation to a person. A large share of a good advisor's files comes from referrals, not media: estate agencies, developers' sales reps, transaction lawyers. Give each partner their own chat link and every enquiry is tagged with its source on the lead card, whoever is referred at eight in the evening gets an immediate reply, and the partner gets a real report - the only thing that produces more referrals.
